In the following, we provide information about the collection of personal data when using our website. Personal data includes, for example, name, address, e-mail addresses, user behavior.

When you contact us by e-mail or telephone, the data you provide (your e-mail address, possibly your name and telephone number) will be stored by us in order to answer your questions. Collection of personal data when visiting our website

The FADP is the legal basis for the processing. We have a legitimate interest in presenting you with a website optimized for your browser and in enabling communication between our server and your end device.

Physical workshops

We also conduct workshops on request. In this context, all necessary and provided information is stored on our server under the corresponding customer.

The data is stored for as long as the customer relationship exists. Thereafter, legal requirements may make further storage necessary, in which case access to the data will be restricted.

Zoom

We use the “Zoom” tool to conduct telephone conferences, online meetings, video conferences and/or webinars (hereinafter: “online meetings”). Zoom is a service provided by Zoom Video Communications, Inc., which is based in the USA.

Which data is processed when using Zoom?

Various types of data are processed when using Zoom. The scope of the data also depends on what information you provide about data before or during participation in an “online meeting”.

The following personal data is the subject of processing:

User details: First name, last name, telephone (optional), e-mail address, password (if “single sign-on” is not used), profile picture (optional),

Department (optional)

Meeting metadata: Topic, description (optional), participant IP addresses, device/hardware information

For recordings (optional): MP4 file of all video, audio and presentation recordings, M4A file of all audio recordings, text file of the online meeting chat.

When dialing in with the telephone: Information on the incoming and outgoing telephone number, country name, start and end time. If necessary, further connection data such as the IP address of the device can be saved.

Text, audio and video data: You may have the option of using the chat, question, or survey functions in an “online meeting.” In this respect, the text you enter will be processed in order to display it in the “online meeting” and, if necessary, to log it. In order to enable the display of video and the playback of audio, the data from the microphone of your device and from any video camera of the device will be processed accordingly for the duration of the meeting. You can switch off or mute the camera or microphone yourself at any time via the Zoom applications.

In order to participate in an “online meeting” or to enter the “meeting room,” you must at least provide information about your name.

We use Zoom to conduct “online meetings.” If we want to record “online meetings,” we will inform you transparently in advance and – if necessary – ask for your consent. The fact that a recording is being made will also be displayed in the Zoom app.

If it is necessary for the purposes of recording the results of an online meeting, we will log the chat content. However, this will generally not be the case.

In the case of webinars, we may also process the questions asked by webinar participants for the purposes of recording and following up on webinars.

If you are registered as a user with Zoom, reports on “online meetings” (meeting metadata, data on telephone dial-in, questions and answers in webinars, survey function in webinars) can be stored by Zoom for up to one month.

Automated decision-making is not used.

Legal bases for data processing

The legal basis for data processing when conducting “online meetings” is the DSG, insofar as the meetings are conducted within the framework of contractual relationships or our legitimate interest in conducting “online meetings.”

Recipients / Disclosure of data

Personal data that is processed in connection with participation in “online meetings” will not be passed on to third parties, unless it is specifically intended for disclosure.

Other recipients: The provider of Zoom necessarily becomes aware of the aforementioned data, insofar as this is provided for in our order processing agreement with Zoom.

We offer our customers a newsletter. If you would like to receive this, we require a valid e-mail address from you and your consent to send you the newsletter.

We assure you that we will treat your data confidentially and never pass it on or sell it to third parties.

You can revoke your consent to the storage of data, the e-mail address and its use in our address management and for sending the newsletter at any time by notifying us by e-mail, telephone or via the “Unsubscribe” link in the newsletter.

Our newsletter is sent using the mailing service “MailChimp”, a newsletter distribution platform of the US provider Rocket Science Group, LLC, 675 Ponce De Leon Ave NE #5000, Atlanta, GA 30308, USA.

You can view the data protection regulations of the mailing service here. The Rocket Science Group LLC d/b/a MailChimp is certified under the Privacy Shield Agreement and thereby offers a guarantee to comply with the European data protection level. The mailing service is used on the basis of our legitimate interests pursuant to Art. 6 para. 1 lit. f GDPR and an order processing agreement pursuant to Art. 28 para. 3 sentence 1 GDPR.

The mailing service provider can use the data of the recipients in pseudonymous form, i.e. without assigning it to a user, to optimize or improve its own services, e.g. for the technical optimization of the dispatch and presentation of the newsletter or for statistical purposes. However, the mailing service provider does not use the data of our newsletter recipients to contact them itself or to pass the data on to third parties.

The newsletters contain a so-called “web beacon”, i.e. a pixel-sized file that is retrieved from our server when the newsletter is opened, or from the server of the mailing service provider if we use one. As part of this retrieval, technical information such as information about the browser and your system, as well as your IP address and time of retrieval are collected.

This information is used to technically improve the services based on the technical data or the target groups and their reading behavior based on their retrieval locations (which can be determined with the help of the IP address) or the access times. The statistical surveys also include determining whether the newsletters are opened, when they are opened and which links are clicked. For technical reasons, this information can be assigned to individual newsletter recipients. However, it is neither our intention, nor, if used, that of the mailing service provider, to observe individual users. The evaluations serve us much more to recognize the reading habits of our users and to adapt our content to them or to send different content according to the interests of our users.

Children

Our offer is basically aimed at adults. Persons under the age of 18 should not transmit any personal data to us without the consent of their parents or legal guardians.

Integration of videos, services and third-party content

It may happen that third-party content, such as videos from YouTube or Vimeo, map material from Google Maps, RSS feeds or graphics from other websites, are integrated within this online offer. This always presupposes that the providers of this content (hereinafter referred to as “third-party providers”) perceive the IP address of the users. Because without the IP address, they could not send the content to the browser of the respective user. The IP address is therefore required for the presentation of this content. We endeavor to only use content whose respective providers use the IP address only for the delivery of the content. However, we have no influence on whether the third-party providers store the IP address, e.g. for statistical purposes. As far as we know, we inform the users about this.

Integration of videos

Videos can be used both on the website and in the member area or for advertising purposes. Videos are a good way to make content more understandable. Local hosting of the videos is not efficient enough, so we use an external provider for this.

Vimeo

We therefore use Vimeo for some of our videos. For technical reasons, clicking on our embedded videos leads to calls to Vimeo’s servers. Vimeo places a cookie in your browser. The purpose of this cookie is to store your settings, e.g. your selected volume or the playback status. This cookie belongs to the category of functional cookies. We only use Google Analytics with activated IP anonymization (“anonymize IP”). As a result, your IP address will be shortened by Google within Europe. Only in exceptional cases will the full IP address be transmitted to a Google server in the USA and shortened there.

Furthermore, we have concluded a contract with Google for commissioned data processing for the use of Google Analytics (Art. 28 GDPR). Google processes the data on our behalf to evaluate your use of the website, to compile reports on website activities for us, and to provide us with other services related to website and internet use. Google may transfer this information to third parties if required by law or if third parties process this data on behalf of Google.

Meta Pixel, Facebook Custom Audiences and Facebook Conversions

We use the Meta Pixel and Facebook Custom Audiences to analyze and optimize our advertising measures on Facebook, to measure their reach and to minimize wastage.
